Creating a Perfect Wedding Timeline: Template

Planning a wedding can be a joyful yet daunting task, especially when it comes to organizing the perfect timeline. A well-structured wedding timeline ensures that everything falls into place smoothly and allows you to enjoy your special day to the fullest. To help you create a comprehensive wedding timeline, here's a step-by-step guide:

1. Start Early

Begin by creating a timeline well in advance. Ideally, you should have a rough outline around 12 to 18 months before the big day. This will give you ample time to make any adjustments and find suitable vendors.

2. Prioritize

Identify the most important aspects of your wedding and prioritize them. Whether it's the venue, catering, or photographer, knowing your priorities will guide you in allocating time accordingly.

3. Consult with Vendors

Contact all your vendors early on and discuss the timeline with them. Share your expectations and ask for their input regarding the time needed for setup, rehearsal, and other arrangements. Having their expertise will help you create a realistic schedule.

4. Ceremony and Reception Times

Decide on the ceremony and reception times. Ensure that you leave ample buffer time between events to account for any delays that may occur. Consider factors such as travel time, traffic, and the duration of each event when setting the schedule for the day.

5. Prepare an Itinerary

Create a detailed itinerary that includes all the wedding events, such as the ceremony, cocktail hour, dinner, toasts, and any other activities you have planned. Make sure to include party entrances, first dances, cake cutting, and other significant moments. Share this itinerary with your wedding party and key vendors to ensure everyone is on the same page.

6. Photography Schedule

Work closely with your photographer to create a photography schedule that outlines the different sessions throughout the day. Plan for pre-ceremony, post-ceremony, and reception photos, allowing enough time for each session to capture beautiful memories. Look at the sunset times too, they can be really important to know when planning your timeline because lighting is a MAJOR factor.

7. Hair and Makeup Schedule

Coordinate with your hair and makeup artists to set a schedule for yourself, your bridal party, and close family members. Ensure that everyone is aware of their designated time slots to keep the day running smoothly.

Wedding Timeline Example

Date: December 15, 2023
Venue: The Grand Garden

Morning Preparations

8:00 am - 9:00 am: Bride and bridesmaids' hair and makeup session begins.
8:30 am - 9:30 am: Groom and groomsmen get ready and dress up.

Photography and Videography

9:30 am - 10:30 am: Photographer and videographer arrive to capture pre-wedding moments. They will document both the bride and groom getting ready, candid shots, and details shots of the venue.

Important Tip! If you choose to do a first look you have the benefit of doing A LOT of photos pre-ceremony, thus making it so you can join cocktail hour, or have a much needed alone time to chill.

Ceremony Setup

9:30 am - 11:30 am: Wedding planner and venue staff begin setting up the ceremony space. They arrange chairs, altar, floral arrangements, and any other decorations. Have a lot of DIY? Make sure you give a lot extra time so your coordinator can have more time setting it up. It is always good to chat with your coordinator so you know what they can handle.

Ceremony

12:00 pm: Ceremony begins

  • Groom and groomsmen arrive

  • Guests start to be seated

  • Bridal party makes their entrance

  • Bride walks down the aisle with her parents

  • Exchange of vows and rings

  • Pronouncement of marriage

  • Couple's exit

Cocktail Hour

12:30 pm - 1:30 pm: While the couple and immediate family take formal photographs, the guests enjoy a cocktail hour with hors d'oeuvres and refreshments.

Reception Setup

10:00 am - 1:00 pm: Wedding planner and venue staff prepare the reception area.

  • Tables are set up with centerpieces, place cards, and table numbers.

  • DJ or band sets up their equipment.

  • Cake and dessert table is beautifully arranged.

Reception

3:00 pm: Reception begins

  • Guests are invited to take their seats.

  • Bridal party makes their grand entrance.

  • The couple has their first dance.

  • Speeches and toasts are given by the best man, maid of honor, and other chosen guests.

  • Dinner is served.

  • Cutting of the wedding cake.

  • Dancing and celebration continue throughout the evening.

Important Tip! Doing the first dance with your grand entrance helps cut the awkwardness (if you are worried about that.) Since you are already having the introductions, you are already center of attention in the dance floor…super simple transition. In addition to that consider doing speeches during dinner. When you do this, it helps cut down on the dinner time, thus getting you to dancing much quicker!

Farewell

9:00 pm - 10:00 pm: The reception comes to a close.

  • Last dance with the couple and guests.

  • Sparkler exit or other chosen send-off.

  • Newlyweds depart amidst a shower of love and good wishes.

Important notes to remember when making your timeline:

  1. Consult with your photographer, what you think is enough time for photos, and what they need could be two different things. Trust your expert.

  2. Consult with your caterer/venue, they could have certain times you need to stay within… double check with them to make sure you are all on the same page.

  3. Shot lists for photographers are SO important, make sure you let them know what shots are MUST haves for you.

  4. Some vendors have set times, for example, you only booked your photo team for 6 hours… what should you do? Personally, what I always recommend is to have minimum one hour before ceremony arrival, and then two hours into the reception. You DO NOT need to have your photo team till the very end… There are only so many dancing photos they can capture, and with liquid courage… they tend to get more… organic throughout the night.

  5. Limit your toasts to MAX four. I know it might be very tempting to have many toasts, but I highly recommend doing toasts at your rehearsal dinner. In a timeline, I always allot 5 minutes per toasts, and I know what you are going to say… “I don’t think they will talk that long…”. Well I am here to tell you 9/10 they do… especially if they do not have one written down and prepared. With that timing, if you had 8 speeches at 5 mins, that is 40 minutes right there. With that being nearly 25% of your reception, you want to tread with caution.

  6. Always allot at least 30 mins for ceremony, even if you think it will end very quickly. It is ALWAYS better to be earlier than later.

  7. Cocktail Hour is typically 1 hour.

  8. Receptions are typically 4-5 hours.

  9. Consider having your cocktail hour first, before your ceremony, if you want to make sure everyone arrives on time to ceremony, and they can have snacks and drinks prior.
